Responsibilities

• Develop and maintain efficient office policies, procedures and systems to ensure the office runs smoothly
• Manage and coordinate office activities, including office supplies, equipment, vendors and other related services
• Create and coordinate meeting and event agendas and logistics
• Monitor and manage office budget and expenses
• Manage communication with vendors and other external partners
• Organize and manage office staff, including hiring and training
• Oversee reception and front desk duties, such as welcoming visitors, answering phone calls and emails, and providing general office assistance
• Schedule and coordinate travel and accommodation for office staff and visitors
• Handle confidential documents and information in compliance with data protection regulations
Requirements
• 3+ years of office management experience.
• Excellent organizational and multitasking skills.
• Ability to prioritize tasks and manage time effectively.
• Ability to work independently and as part of a team.
• Excellent customer service and communication skills, both verbal and written.
• Proven ability to take initiative and solve problems effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

The ideal candidate for this role must have excellent communication, budgeting and problem-solving skills. You will be the go-to person for all office related questions and will be expected to ensure the office runs smoothly. Your responsibilities will include organizing office operations and procedures, coordinating with vendors, managing staff schedules and resources, overseeing payroll and invoicing, maintaining office supplies, and providing administrative support. You will also be responsible for monitoring budgets, managing expenses, and tracking progress against goals. Additionally, you will be in charge of organizing company events and maintaining a safe and secure office environment.

• Greet and direct visitors, responding to inquiries and directing them to the appropriate personnel

• Supervise and coordinate office staff, including hiring and training new staff as needed
Requirements
• At least 5 years of office management experience.
• Demonstrated ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient.
• Proven experience in developing, implementing and executing processes, procedures, policies and strategies.
• Exceptional organizational, time management, and problem solving skills.
• Experience in handling a wide range of administrative and executive support related tasks and ability to work independently with little or no supervision.
• Excellent written and verbal communication skills.
• Proficiency in MS Office (Word, Excel, Outlook, and Power Point), Adobe Pro and other office related software.
• Ability to manage multiple projects and prioritize tasks.
• Ability to maintain confidentiality and handle sensitive information.
